Automation Setup Blueprint: From job to hire in 7 steps

The 7-Step Automation Blueprint How to build a self-driving hiring engine in RecruitHorizon without technical skills.

Most hiring fails because of friction. You forget to email a candidate. You forget to schedule a follow-up. You forget to send the offer. This blueprint is your configuration manual. Follow these 7 steps to configure a RecruitHorizon job pipeline that runs itself.

Step 1: The Structured Job Post

Goal: Filter unqualified candidates before they apply.

  • Go to Jobs > New Job.
  • Do NOT paste a wall of text. Use the AI Generator.
  • Action: Define specific "Must-Have" skills in the structured fields (e.g., "React," "Salesforce").
  • Why: These fields power the Auto-Screening scoring engine. If you leave them blank, the AI flies blind.

Step 2: The "Autopilot" Screening Gate

Goal: Automate the first "No".

  • Go to Job > Settings > Automation.
  • Set Screening Stage to AUTOPILOT.
  • Set Thresholds:
    • Pass (Advance): 80/100. (Candidates above this score move to Assessment instantly).
    • Fail (Reject): 60/100. (Candidates below this are auto-rejected; rejection email is optional if enabled).
  • The "Blur" Check: Verify that candidates between 60-79 stick in the "New" stage for your manual review.

Step 3: The Assessment Filter

Goal: Verify hard skills without a phone call.

  • Go to Assessments > Library.
  • Select: Choose a pre-built Simulation (e.g., "Customer Support Email Simulator") or a Quiz.
  • Link: Attach this assessment to the Assessment Stage of your job.
  • Automation: Set Assessment Stage to AUTOPILOT.
    • Result: As soon as a candidate passes screening, they get the test. You sleep; they test.

Step 4: The Async Interview Setup

Goal: Replace the 30-minute phone screen.

  • Go to Interviews > Templates.
  • Create Flow: Add 3 questions (e.g., "Tell me about a time you failed.").
  • Time Limits: Set max time to 2 minutes per answer.
  • Link: Attach to the Interview Stage.
  • Grading: AI grading runs automatically and scores each answer against your criteria.

Step 5: The Outreach Sequence

Goal: Source passive candidates who are not applying.

  • Go to a Job > Sourcing tab > Outreach section.
  • Create a 3-step sequence:
    • Day 0: "Saw your profile..."
    • Day 3: "Just bumping this..."
    • Day 7: "Last try..."
  • Safety Check: Ensure "Stop on Reply" is enabled to prevent awkward double-emails.

Step 6: The Offer & Onboarding "Handshake"

Goal: Turn a "Yes" into an "Active Employee" instantly.

  • Go to Job > Settings > Onboarding Requirements.
  • Define Requirements:
    • I-9 Form
    • W-4 Tax Form
    • Employee Handbook Signature
    • Direct Deposit Voided Check
  • Test: Verify that moving a candidate to "Hired" triggers the Onboarding Portal invite.

Step 7: Go Live & Monitor

Goal: Trust but verify.

  • Publish the Job.
  • The "Dummy" Test: Apply to your own job with a fake resume.
    • Did you get the confirmation email?
    • Did the AI score you?
  • Check the Dashboard: Look at Zone B (Engine Output) to see your automated actions logging in real-time.
